General Rules of the Habibi Competition

Process of Registration

  • Applications for the Competition are submitted via the registration form in the Registration section.
  • After receiving the application, the organizer will send the applicant a confirmation of the inclusion of the application within 3 working days to the e-mail address specified in the application form.
  • The applicant is fully responsible for the completeness and correctness of the application. During processing, the organizer may ask the applicant to clarify or supplement the application.
  • Incomplete applications may be rejected by the organizer if they are not complete by the given deadline.
  • The applicant is considered to be the person or organization that sent the application. For example, in the case where the application for the Group category is sent by an organization and subsequently, for example, an application for the Solo category by a person who dances in the given group (but sends it separately) - in this case, the organizer is dealing with 2 separate applicants, even though the soloist dances in a group sent by the same organization. In terms of entry and therefore the identification wristband, however, the wristband will always be counted per specific person, i.e. the given soloist will only receive 1 identification wristband per entry, even though she/he is registered once through the organization and once for herself/himself.
  • Applications must be paid by the deadline stated on the invoice. An application that is not paid by the required deadline may be rejected.
  • The organizer reserves the right to stop registration at any time in the event that the capacity of the competition day is reached, this status is called Stop Status. In such a case, the organizer will close the registration system with immediate effect and without prior warning and will not accept further applications. Usually, we also inform about this status on social networks.

Applications Deadline and Attendence Deadline

  • 1st Application deadline (19.10. 2025) = date by which applications can be submitted at the standard price. After this date, applications can still be submitted, but with an additional 25% fee of the entry fee.
  • 2nd Application deadline (26.10. 2025) = date by which applications can be submitted, but with an additional 25% fee of the entry fee. After this date, applications can still be submitted, but with a 50% fee of the entry fee.
  • 3rd Application deadline (2.11. 2025) = date by which applications can be submitted, but with an additional 50% fee of the entry fee. After this date, applications can no longer be submitted.
  • Attendence Deadline (2.11. 2025) = latest date by which an application can be canceled. If 3 or more applications are cancelled by 1 organization or 1 dancer between the 1st Application Deadline and the Attendance Deadline, only 50% of the entry fee will be refunded. After this date, it is no longer possible to make changes to applications or cancel applications.

Changes in Applications and Cancelling Applications

  • Changes to Applications can be sent from the time the application is submitted until the Deadline for the given period. A change in the application is considered a change in the person of the dancer, the number of dancers in the group, the dance style, the name, etc. Reclassification within categories is possible only in the given application period to the given deadline, i.e. for example, if you submit an application in the 1st application period, changes within categories can only be made in the period until the 1st Deadline, similarly for other deadlines.
  • Cancellations from already submitted applications are possible only in the period from the 1st Deadline to the Attendence Deadline (i.e. from 20.10. to 2.11. 2025). In the event that 3 or more cancellations are submitted for a given applying organization or soloist, only 50% of the paid entry fee will be refunded.
  • In the event of a Stop Status on any competition day, the Attendence Deadline remains on the originally announced date (2.11. 2025).

Applications and payments of the entry fee

  • Registration opening for the Competition: 1.9. 2025
  • 1st Application Deadline: 19.10. 2025 in 23:59
  • 2nd Application Deadline (with 25% fee): 26.10. 2025 in 23:59
  • 3rd Application Deadline  (with 50% fee): 2.11. 2025 in 23:59 (we do not longer accept applications after this day)
  • Attendence Deadline: 2.11. 2025 ve 23:59 (last chance for cancelling applications)
  • Applications can be submitted till 3rd Application Deadline or till announcing Stop Status, which can be announced anytime without prior warnings.

Sending music for the categories with Own choreography

  • Music for the competition is uploaded to Google Drive in a folder that the organizer creates for the applicant and sends back a link to the folder by e-mail. Music sent by e-mail will not be taken into account.
  • The link to the storage (Google Drive folder) will be sent by the organizer to the applicant to the e-mail address provided in the application form with confirmation of the application.
  • The music must be uploaded by November 9, 2025. The organizer reserves the right to reject an application without music or with an insufficient description. The applicant is obliged to edit the name of the music at the organizer's request if he did not name it correctly according to the instructions below.
  • The music must be uploaded with a description according to the instructions below, and must be in mp3 format. Incorrectly described music or in the wrong format may lead to incorrect assignment, therefore such a recording may not be taken into account.
  • To determine the competition day:
  • 1st day of competition = Saturday = number 1
  • 2nd day of competition = Monday = number 2
  • Level category abbreviation:
  • B = beginner
  • I = intermediate
  • A = advanced
  • P = professional
  • How to name the music:
  • Number of the competition day_category_style_age category_level category abbreviation_competitor's name_choreography name_ON/OFF stage

Order photos from the Competition (from Dance Photo)

  • By clicking the appropriate box in the application form, you are non-bindingly ordering photos from the given choreography at the competition and you agree with the price. You will then see the photos taken in a preview on the monitors in the Dance Photo booth. You can then view and finally purchase the photos directly at the Dance Photo booth in the Habibi Festival.
  • All further communication and invoicing will take place directly with the Dance Photo company, which will deliver the photos to you and is also your supplier, the organizer of the Habibi Festival is only an intermediary ensuring initial communication.
  • If you do not order photos in advance, they can be ordered directly on site at the Dance Photo booth. Ordering in advance guarantees you a lower price and a higher number of purchased photos.
  • It will also be possible to order a studio photo shoot with a professional photographer on a white background on site.
  • All payments on site to Dance Photo will be accepted only in cash in CZK or EUR.

Prices of the photos - in case of pre-order in the application:

  • Solo + Duet/Trio: 200 CZK / 1 choreography (15-30 photos)
  • Group: 350 CZK /1 choreography (30-50 photos)

Prices of the photos - ordering on site from the monitors:

  • 250 CZK / 10 photos by your choice (it can be mixture of more choreographies but to the maximum of 10 photos)

Order videos from the Competition (from the Pixrea)

  • By clicking the appropriate box in the application, you order a video of the given choreography at the Competition and agree to the price of the video.
  • The organizer of the Habibi Festival will forward the order to Pixrea within the deadline after the start list is created.
  • All further communication and invoicing will take place directly with Pixrea, which will deliver the video to you and is also your supplier; the organizer of the Habibi Festival is only an intermediary ensuring initial communication.
  • Ordering videos from Pixrea is possible online through the Competition applications only until the Deadline for attendance, i.e. until November 2nd, 2025

  • Videos should be processed and sent within 4-5 weeks after the date of the Habibi Festival
  • In case of low interest, Pixrea reserves the right to cancel the order.

Price for 1 video:

  • Solo: 150 CZK / 1 choreography
  • Duet/Trio: 200 CZK / 1 choreography
  • Groups: 260 CZK / 1 choreography

Dates of sending music and videos

  • Choreo It!
  • Music for the category Choreo It! will be sent by the organizer immediately after processing the submitted Application, which can last in maximum of 3 working days. There is no need to pay the entry fee in advance.
  • The contestant will then notify the organizer of the start of the ON/OFF stage and the name of the choreography (the name only applies to the Fusion/Show category) no later than November 2nd, 2025 till 23:59.

  • Group Solo and Improvisation
  • Video (both in english and czech language) and music for the Group Solo category and music for the Improvisation category (does not apply to the Professional category) will be continuously sent immediately by the organizer from 29.9. 2025 to all those who have duly submitted and paid the application.

  • Own Choreography Solo
  • The music must be delivered to us no later than November 9, 2025 to the Google Disc Folder sent by organizer in the e-mail.

Schedules

  • Preliminary Schedule: 26.10. 2025
  • Final Schedule: 5.11. 2025
  • The schedule will be sent to participants by e-mail and will also be published on the website
  • At the Competition, you need to follow the current schedule after changes after registration

Competition Backround

  • Hot and cold drinks and hot and cold fast food will be available for purchase at the Competition - details will be sent by e-mail before the Festival
  • Competitors will have changing rooms and sanitary facilities at their disposal
  • There will also be a traditional Costume Bazaar and other accompanying activities
  • The dancers will perform on a classic theater stage with backstage access by climbing few steps.
  • Dance surface: black balletizol 8x7 meters

Visitor Tickets for 1-day at the Competition

  • Can be purchased online in advance from 1.9. - 9.11. 2025 or in person on site (the price will be the same as in advance)
  • In case of advance sale: You can pick up your tickets at the cash desk when reporting the name specified in the order - you will be given the appropriate number of identification wristbands and thus speed up your entry to the Competition.
  • Tickets can only be purchased on site in cash, in Czech crowns.
  • You cannot visit the Competition without a ticket, even for a short time.
  • Competitors do not have to buy tickets.

The Organizer reserves the right to change the rules of the Competition.
